Booking Conditions

These booking conditions form part of your contract with Springbok Expeditions. They apply to all trips we operate, unless we have agreed something different in writing. We keep them short and clear - please read them.

1. The contract

A booking is confirmed when:

  • You accept a written quote from us
  • You pay the deposit (30% of the trip cost)
  • We send a written booking confirmation

The contract is between you (the lead traveller) and Springbok Expeditions, governed by the laws of Tanzania.

2. Payment

  • Deposit: 30% of the trip cost, due at booking.
  • Balance: 70%, due 60 days before the trip starts.
  • For trips booked within 60 days of departure, full payment is due at booking.
  • Bank transfer (no fee), or credit card (2% processing fee).
  • You can pay in instalments between booking and the balance date.

3. What's included

Your quote and booking confirmation list exactly what is included. As a guide, our standard inclusions are:

  • Accommodation as listed in the itinerary
  • All meals from arrival to departure (as listed)
  • Private 4x4 vehicle and English-speaking driver-guide for the duration of the safari
  • Park and conservation fees for all parks and reserves in the itinerary
  • Airport transfers on arrival and departure
  • Bottled water in the vehicle
  • Internal flights as listed in the itinerary

4. What's not included

  • International flights (we can recommend but not book)
  • Travel insurance (mandatory - see below)
  • Visas, vaccinations, and any medical costs
  • Drinks (alcoholic and premium soft drinks) at lodges
  • Tips for guides and lodge staff (we provide guidelines)
  • Personal expenses (laundry, phone calls, souvenirs, spa)
  • Optional activities not listed in the itinerary

5. Cancellation by you

If you need to cancel, the following charges apply (as a percentage of the trip cost):

  • 60+ days before departure: deposit refundable, minus bank charges
  • 30–59 days before: 50% of total cost
  • 15–29 days before: 75% of total cost
  • Less than 15 days or no-show: 100% of total cost

If we can re-sell your dates, we will refund the full amount minus bank charges. We strongly recommend travel insurance to cover cancellation.

6. Changes by you

If you want to change dates, route, or group size after booking, we will do our best to accommodate. Date changes more than 60 days before departure are usually free; changes within 60 days may incur supplier fees. Route or group-size changes are quoted case-by-case.

7. Cancellation or changes by us

We very rarely cancel trips. When we do, it is usually for genuine safety reasons (severe weather, political instability) or because minimum numbers are not met. If we cancel:

  • You can take a full refund, or
  • You can move to alternative dates at no extra cost

We do not refund additional costs you have incurred (international flights, visas, insurance) - please make these refundable where possible.

8. Travel insurance

Travel insurance is mandatory for all our trips. Your policy must cover:

  • Trip cancellation and curtailment
  • Medical expenses and emergency evacuation (specifically including air evacuation from a remote safari camp)
  • Personal liability
  • Loss of baggage and personal items

Please send us your policy details at least 30 days before departure.

9. Your responsibilities

You are responsible for:

  • A valid passport (6+ months, 2+ blank pages)
  • Any required visas and travel documents
  • Following reasonable guidance from your driver-guide, lodge staff, and our team
  • Obtaining appropriate vaccinations and anti-malarial medication
  • Comprehensive travel insurance

10. Complaints

If something goes wrong on the trip, please tell your guide or our office immediately. Most issues can be resolved on the spot. If we can't resolve it during the trip, please email us within 28 days of return with your booking reference and a brief description. We will respond within 14 days and, where appropriate, offer a fair resolution.

11. Our liability

We take responsibility for the services we provide as principal. Where services are provided by third parties (airlines, lodges, park authorities), we pass through their liability terms. Our maximum liability is limited to the cost of your trip with us.

Nothing in these conditions limits our liability for death or personal injury caused by our negligence, or for fraudulent misrepresentation.
